Privacy Policy

Game Set Life Tennis Academy ("we", "us") respects your privacy. This policy explains how we process your personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who we are

2. Information we collect

• Account details: full name, phone number, email address and password (stored only in encrypted, hashed form).
• Booking details: chosen package, lesson date and time, price, and booking status.
• Booking history: reschedules, cancellations (who made them and when) and missed-lesson records.
• Information about junior players where a parent or guardian books on their behalf.

We do not collect card or banking details online. Payment is made at the desk on the day.

3. Why we use it

• To create and manage your profile and lesson bookings.
• To send booking confirmations, change notices and lesson reminders 24 hours before each lesson.
• To keep the coach's calendar up to date and avoid double bookings.
• To prepare invoices and keep financial records.
• To apply our cancellation and missed-lesson policy.

We process your information because it is needed to provide the coaching you request (POPIA section 11(1)(b)), to comply with legal obligations such as tax record-keeping (section 11(1)(c)), and with your consent given at sign-up. We do not sell your information or use it for unrelated marketing.

4. Children's information

Many of our players are juniors under 18. Under POPIA sections 34 and 35, we only process a child's personal information with the consent of a parent or legal guardian. Junior profiles and bookings must be created by, or with the permission of, a parent or guardian, who accepts this policy on the child's behalf.

5. Who we share it with

We share only what is needed with trusted service providers (operators) who process it on our behalf:

• Secure cloud hosting and database services that store your profile and bookings.
• An email delivery service that sends confirmations and reminders.
• Google Calendar, which holds the coach's lesson schedule.

Some providers store information on servers outside South Africa. We only use providers that apply protections comparable to POPIA (section 72). We may also disclose information where the law requires it.

6. How we protect it

• All website traffic is encrypted (HTTPS).
• Access controls ensure clients can only see their own information; only the coach can view client records.
• Visitors who are not signed in can only see which time slots are busy — never names or contact details.

If we become aware of a security compromise affecting you, we will notify you and the Information Regulator as POPIA requires.

7. How long we keep it

• Invoices and booking/payment records: 5 years, as required for South African tax purposes (SARS).
• Account profile: while your account is active. If you ask us to delete it, we remove your profile and anonymise records we don't have to keep by law.
• Inactive accounts: reviewed and deleted or anonymised after 2 years without any bookings.
• Email and reminder logs: kept no longer than needed to deliver and troubleshoot messages.

8. Your rights

Under POPIA you may:

• Ask what personal information we hold about you and receive a copy.
• Correct your details — you can update your name and phone number on My profile at any time.
• Ask us to delete your information, or object to its processing.
• Withdraw consent (this may mean we can no longer take bookings for you).
